Event Services Internship - Spring 2012

A college credit internship with our Event Services Department from January-May, 2012 (a non-paid position).  Primarily focusing on meeting and event management with the Prudential Spirit of Community Awards (PSoC) and the Assistant Principal of the Year Program (APOY), the internship will provide the student with tools and skills to successfully enter the professional convention management industry.   The intern will also provide support as required to other areas of Event Services in preparation for other events that may be forthcoming.

Position Description:

  • Participate in a minimum of two meetings a week to update supervisor on tasks assigned and progress.
  • Provide on-site staff support at APOY program, April 18-21, 2012 and PSoC program, May 5-8,   2012 (participation required).
  • Review and submit updates for program webpages
  • Assist in the preparation for and review of printed materials
  • Coordinate specific tasks for the APOY program including: tour tickets, tuxedo rentals, vendor coordination, scripting (pronunciation list), and room set checks.
  • Coordinate specific tasks for the PSoC program including: radio policies and procedures, staff dinners and   lunch prior to program start, International honoree gifts, Working with the Media presentation, Wheelchairs, Arlington Cemetery Wreath Laying, Floral donation, and Spirit of Mount Vernon Dinner Cruise activities
  • Communicate with program honorees and parents on a daily basis
  • Represent NASSP and program sponsors with poise in all situations
  • Assist any Event Services Department employee who requires assistance prior to an event as needed
  •  Other duties throughout Event Services and its staff as assigned

HR Administrative Assistant II

NASSP seeks individual to provide administrative support to the Associate Director of HR in maintaining all areas of the personnel office.

  • Assist the Associate Director in maintaining all confidential personnel and payroll files retained in the Personnel Office
  • Prepare new employee packets, update employee lists, organize and maintain all employee records
  • Prepare and mail thank you letters, cards, and memos to candidates interviewing for open positions
  • Calculate weekly dental expenses for employee dental claims, update employee file and submit to accounting for reimbursement
  • Maintain and update NASSP retiree files for reimbursement of their supplemental health insurance payments on a quarterly basis
  • Check monthly Health, Life and Long Term Disability statements and submit to accounting for payment
  • Serve as primary back up for the switchboard
  • Other duties as assigned

REQUIREMENTS:

  • High School graduate with minimum of 3-5 years clerical experience, preferably in HR or accounting
  • Proficiency using MS Work, Excel, and Outlook software required
  • Excellent organizational and interpersonal skills
  • Self starter with the ability to work independently and a thorough attention to detail
